A free trial is only valuable if you know what to test. Most people spend their trial period clicking around the interface and watching tutorial videos. Then they buy based on first impressions — and discover the hard way that the mobile app is unusable or the reporting doesn't cover what they need.

Here's a structured checklist for evaluating facility management software during a free trial.

Day 1–2: Test the Core Workflow End to End

Don't start with settings. Start by doing the actual job: submit a maintenance request, convert it to a work order, assign it to a technician, mark it complete, and generate an invoice. If this workflow is clunky or requires jumping between multiple screens, the rest of the platform doesn't matter.

Time how long it takes. In a good platform, you should go from request to dispatched work order in under two minutes. If it takes ten, the software will slow your team down, not speed it up.

Day 2–3: Test the Mobile App — Offline

Put your phone in airplane mode. Open the mobile app. Can your technician see their job assignments? Can they update job status? Can they add notes and photos? Send a test job tracking link to your own email. Open it as if you were a client. Does it show job status clearly? Does it update in real time when the technician marks the job as in progress? Can the client send a message through the portal?

Day 5–6: Run a Payment Through the System

Complete a test job and generate an invoice. Send it to your own email. Open the payment link and pay using a test card. Check the fee structure: does the platform charge a processing markup on top of Stripe's standard rates? Some platforms add 0.5–1% on top — that's $100–$200 extra per month on $20,000 in invoicing.

Day 6–7: Pull a Report

Generate a report on work orders completed in the past 30 days. Filter by technician. Filter by client. Export to CSV or PDF. If the reporting is limited to canned dashboards with no filtering or export, assume it will never improve.
